Paper size when printing

The Library printers will only print on A3 or A4 sized paper. If what you are printing is set to print out on any other paper size, your document won't print. The printer will sound five short beeps and alerts will display at the bottom of the screen saying Check the Status Monitor Screen and Load Paper.

To print your document on A3 or A4 paper press the Status Monitor button (with an eye symbol next to it) on the bottom right-hand corner of the screen. In the Status Monitor Screen select either A4 or A3 paper and click OK

If the printer has run out of paper please ask at the Library counter and we will refill it for you. Please don't open the trays yourself.

Reducing image size before printing

Word (text in blue for Mac users)

  1. Try printing the pages with images separately.
  2. Insert pictures instead of copying and pasting, or dragging and dropping. (click the Insert tab at the top of the page and then select Picture (Photo) Pasted images become bitmap files, which are larger in comparison to Jpegs.
  3. You can also compress the size of the pictures within a document:
  • Left click the image.
  • Click the picture tools – format tab (Format picture) at the top of the screen.
  • Click the compress pictures (compress) icon (Use the drop down arrows to select. Best for sending in email (96ppi))
  • Tick Apply only to this picture (selected pictures only) unless you want to apply compression to all pictures in the document.
  • Select email – 96ppi (the image quality difference is negligible for images on an A4 page).

You can also reduce the image size in Photoshop before inserting it into the word document.

Photoshop

  1. Open the image.
  2. Click Image>Image size from the top menus.
  3. If you are printing directly from Photoshop or planning to use images in other applications, save the image as a jpeg to ‘flatten’ the image.

If you are still having problems printing, please contact the Service Desk on 3333.
